Repairs

From repair ticket to paid at the till

How a job on the Repairs board becomes a Shopify order the customer pays, and what the dashboard does on its own along the way.

The flow

  1. 1

    Book the bike in

Use New Repair at the counter. Pick the customer from Shopify, add a new one, or choose Walk-in. This is what puts the customer's name on the Shopify order later.

  2. 2

Put the parts and labour on the ticket

Open the ticket, then the Parts & Labour tab. The total under On this job is what the customer will pay.

    • Every part needs a price. A part with no price shows No price and the draft order or order can't be raised until it has one.
    • Parts picked from Shopify take stock off when sold. Custom parts and labour don't.
    • Warranty parts aren't charged and don't go on the order.
  3. 3

    Press 🧾 Draft order

At the bottom of the ticket panel, on the Details or Parts & Labour tab.

    Sligo

Makes a draft order in Shopify. It shows in the POS draft orders. Stock doesn't move yet.

    Boyle

The button reads 📋 Order and makes a full unpaid order. It shows under Orders in POS. Stock comes off Boyle's count straight away.

The button then becomes 🧾 Draft order ↗ to open it in Shopify. Pressing it twice never makes two orders.

  4. 4

If the job changes after that

    Sligo

Add or remove a part or labour and the draft updates itself a second or two later: Shopify draft order updated — €94.00. If that fails, ⚠ Draft order out of date appears; press ↑ Update draft order.

    Boyle

The dashboard can't change a full order. Edit the order in Shopify yourself, then press ↻ on the ticket. The out-of-date badge clears once they match.

  5. 5

Move it to ✓ Ready for Collection

This is always a person's call. Paying early never moves a job to Ready. Texts to the customer aren't set up yet, so the screen will say Customer not texted: tell them from the Message tab (WhatsApp, Email or Copy).

Late collection: after 14 days at Ready, the Details tab offers a €5-a-week fee. Add to draft order puts it on the order. At Boyle, add it to the order in Shopify by hand.

  6. 6

    Customer pays at the till

    Sligo

Open the draft in POS and complete it. Stock comes off Sligo's count now.

    Boyle

Find the order under Orders in POS and take payment.

Can't find it? Search Shopify for the ticket's tag, e.g. repair-1042.

  7. 7

The dashboard catches up on its own

Within about 5 minutes the Shopify column reads Paid. Press ↻ if you don't want to wait.

    • Paid by card or cash on a till while at Ready: the job moves to Collected by itself and is archived a day later.
    • Paid any other way (Bike to Work, invoice link, phone payment), or before Ready: marked Paid, but left where it is.
    • A part still pending or on order keeps the job on the board until it's dealt with.
